Retrieve missing or updated SDSs from your suppliers

Safety Data Sheets (SDS) are updated because the information describing a chemical, its hazards, and how to use it safely may change over time.

From a regulatory standpoint, Article 31(9) of REACH establishes three specific cases in which the supplier must update the SDS:

• new information about the hazards becomes available, or information that may necessitate different or more stringent risk management measures
• An authorization under REACH is granted or denied
• A restriction is imposed.

In practice, therefore, a new revision of the SDS may result from many situations. For example, the CLP classification of a substance contained in the product may change; new toxicological or ecotoxicological data may become available; the composition or concentration of the mixture’s components may change; guidance regarding exposure, PPE, handling, or storage may be updated; or relevant regulatory information may change. ECHA expressly notes that changes to the harmonized classification of substances, new information becoming available, and changes in the composition of a mixture may necessitate a reassessment of the classification and, consequently, an update to the SDS.

There are also revisions resulting from the adaptation of the SDS to new regulatory requirements for its preparation. A key example was Regulation (EU) 2020/878, which amended Annex II of REACH and, consequently, the requirements for preparing SDSs.

The supplier is required to send it. Article 31.9 of REACH requires anyone who supplies a substance or mixture to update the Safety Data Sheet without delay when new information on hazards or risk management measures becomes available, and to provide the updated version to all recipients who received supplies within the previous twelve months.

This way, you’ll receive the official document in the most recent version published by the manufacturer and, when needed, in the language and in accordance with the regulations of the country where your production facility is located.

The retrieval process is based on the documents actually issued by your suppliers for the products you use, not on a standard SDS library shared across companies.

Every request sent to a supplier is recorded in SDS-FullService, along with the date it was sent and the complete history of follow-ups, conversations, and documents sent and received.

This traceability complies with Article 36 of REACH, which requires that information and records of communications with recipients be retained for at least ten years, and complements the obligation under Article 31.9 regarding the updating and resubmission of the SDS. During an audit, you will have documentary evidence that you requested the update and, once received, uploaded it to the archive.

No. The purpose of this feature is to retrieve the most recent versions of SDSs already issued by suppliers and upload them to your archive.
