Why is it important to obtain the most recent SDSs?

There are numerous and frequent situations that may require a manufacturer or supplier to prepare an updated Safety Data Sheet (SDS), and the processes for delivering and receiving SDSs are not always rigorous. Manufacturers and suppliers may not be thorough or proactive in sending them.

The result? Often, not all the necessary SDSs are available, or the versions on hand are out of date. This can lead to errors in the chemical risk assessment.

Revising an SDS may be necessary for several reasons:

- REACH and CLP regulatory changes
- national health & safety regulations
- a change in the hazardousness of a substance
- when a substance is harmonized, registered, or included in ECHA’s lists of SVHCs, restricted substances, or authorized substances
- When the manufacturer/supplier updates the information contained in SDSs or Exposure Scenarios.

When is it mandatory to update a Safety Data Sheet?

An SDS must be updated whenever the information it contains changes.

Common scenarios include an amendment to the REACH or CLP regulations, the inclusion of a substance in ECHA’s lists (Candidate List of SVHCs, Restricted Substances, or Authorized Substances), a change in hazard classification, an update to the Exposure Scenarios, or new information made available by the manufacturer. In these cases, Article 31.9 of REACH requires the supplier to update the SDS without delay and to resend it to recipients who received the substance within the previous twelve months.

What happens if a supplier doesn't send me the updated SDS?

The supplier is required to send it. Article 31.9 of REACH requires anyone who supplies a substance or mixture to update the Safety Data Sheet delay when new information on hazards or risk management measures becomes available, and to provide the updated version to all recipients who received supplies within the previous twelve months.

With "Search & Upload," you can submit a request to the supplier directly within SDS-FullService: you send the request, the system tracks follow-ups, and archives the responses.

Even when the supplier is slow to respond, you still have written proof that you contacted them, which can be useful during an audit.

Who should contact the supplier to get the SDSs—me or your team?

You can choose.

You can have our team handle the sourcing process—they will contact suppliers and manufacturers on your behalf—or you can manage it yourself by creating a request in SDS-FullService.

In both modes, each request is tracked, with its status updated and responses archived.

Do the SDSs come from a pre-built archive?

No. Each certificate is obtained directly from the supplier or manufacturer that issued it.

This way, you’ll receive the official document in the most recent version published by the manufacturer and, when needed, in the language and in accordance with the regulations of the country where your site is located.

The search function uses the documents that your suppliers have actually issued for the products you use, not a standard collection that is the same for all companies.

Does the Search & Upload feature generate new SDSs?

No. The purpose of this feature is to retrieve the most recent versions of SDSs already issued by suppliers and upload them to your archive.

Authoring of new Safety Data Sheets is not included.

How do I demonstrate during an audit that I requested an SDS update?

Every request sent to the supplier is recorded in SDS-FullService, along with the date it was sent, any follow-ups, and the responses received.

This traceability complies with Article 36 of REACH, which requires that information and records of communications with recipients be retained for at least ten years, and complements the obligation under Article 31.9 regarding the updating and resubmission of the SDS. During an audit, you will have documentary evidence that you requested the update and, once received, uploaded it to the archive.
